The Project Statistics Dashboard provides an interactive view of projects at various stages of development. It is designed to help measure the volume of jobs created, completed, in progress or in any particular status for levels such as client, division, product, account executive, sales class, department and job type.
Select Project Management button from the Main Menu. Click on the Dashboards/Queries button to access the Project Statistics Selection screen.
The dashboard is designed to display data for the current year and/or the previous year. Before the most current data can be viewed, click the Refresh Data button. Refreshing the data may be done at any time by clicking the Selection button from within the dashboard. Data only needs to be refreshed when the data has changed.
Once the data has been refreshed, use the filter to make selections to determine the timeframe and other criteria. The filter is separated into different sections.
The top buttons allow for the selection of the year and months to be viewed.
Month and Year - Select a year to view the current year, past year or both years by clicking on the applicable year's button. Only 1 year's data will be displayed at a time, but both years can be selected to view data that crosses over the year's.
Example: If today is 01/15/2018, choose both the 2017 and 2018 button to view data for 01/15/2017 through 01/15/2018. To view data for only the current year 01/01/2018 through 01/15/2018 select the 2018 button.
Month and Year to Date - To view one Year to Date based on selections, select the Year to Date button. To view a single month, select the Month button.
The ability to toggle between the Year to Date and a 'single' Month is available from within the dashboard.
Month Ending - Select a Month to view by clicking on the Month button and select the month from the Month dropdown.
Week Ending - Select the week's ending cutoff by selecting the week from the Week dropdown.
If the Month button is selected, a single month of data, up to the week selected will be displayed.
If the Year to Date button is selected, the data for up to the month and week selected will display.
Select from the following filter options to narrow down the data to be viewed.
Office - If the Projects to display on the dashboard should be limited to the Office in which they are associated, select that Office. To select multiple Offices, hold the CTRL key on the keyboard while clicking on each Office. If All Projects should be included regardless of the Office association, select 'All Offices'.
Account Executive - If the Projects to display on the dashboard should be limited to the Account Executive in which they are associated, select that Account Executive. To select multiple Account Executives, hold the CTRL key on the keyboard while clicking on each Account Executives. If All Projects should be included regardless of the Account Executives association, select 'All Account Executives'.
Client - If the Projects to display on the dashboard should be limited to a particular Client in which they are associated, select that Client. To select multiple Clients, hold the CTRL key on the keyboard while clicking on each Client. If All Projects should be included regardless of the Client associated, select 'All Clients'.
Department - If the Projects to display on the dashboard should be limited to a particular Department in which they are associated, select that Department. To select multiple Department hold the CTRL key on the keyboard while clicking on each Department. If All Projects should be included regardless of the Department associated, select 'All Department'.
Sales Class - If the Projects to display on the dashboard should be limited to a particular Sales Class in which they are associated, select that Sales Class. To select multiple Sales Classes hold the CTRL key on the keyboard while clicking on each Sales Class. If All Projects should be included regardless of the Sales Class associated, select 'All Sales Classes'.
Job Type - If the Projects to display on the dashboard should be limited to a particular Job Type in which they are associated, select that Job Type. To select multiple Job Types hold the CTRL key on the keyboard while clicking on each Job Type. If All Projects should be included regardless of the Job Type associated, select 'All Job Types'.
Status - If the Projects to display on the dashboard should be limited to a particular Status in which they are associated, select that Status. The 'No Status' selection should be used to not limit the projects based on the Status (clear the selection).
Cancelled Status - Select the Cancelled Status checkbox to display all Projects that meet the Time / Date and the Project Status selected. Once the Cancelled Status checkbox is selected, the Projects in Status button will change to Projects Cancelled. Click on the Projects Cancelled button to view all projects that have been cancelled.
Cancelled projects are projects that have a Completed Date entered in the Project Schedule.
Once all criteria is selected, click the Refresh Data button. A message will display verifying to update search criteria. Click OK to refresh the data or click Cancel to disregard.
Once all the filter criteria has been selected and refreshed, select a display option to begin viewing the dashboard data:
Project Created - Displays the jobs that have been created during the selected timeframe. The Project Created is based on the Job Component's Date Opened.
Projects Completed - Displays the number of jobs completed based on the Completed Date entered on the Project Schedule.
Projects Due - Displays the number of jobs due based on the Due Date entered on the Job Component.
Projects Pending - Displays the number of open jobs and have a project schedule assigned to them. Open jobs is defined by the Job Process Control status and if there is not a Project Schedule Completed Date. The Year, Month and Week Views are not available.
Projects in Status - Displays the number of pending projects based on the selected status. This option will only be available when the Cancelled Status checkbox is un-selected on the Selection Filter page.
Projects Cancelled - Displays the number of projects that have been cancelled. Cancelled projects are projects that have a Completed Date entered in the Project Schedule. This option will only be available when the Cancelled Status checkbox is selected on the Selection Filter page.
Summary Levels represent different categories for which job statistics may be measured. Select the Summary Level to display using the Summary Level dropdown, located on the top toolbar.

A Summary screen will initially be displayed, based on the Display Option and Summary Level selected, using both a 'pie chart' and a grid format. Hovering the mouse over pieces of the 'pie chart' will reveal how many jobs are associated to the level. The grid below also displays the same information of how many jobs are associated to the level.
There are 2 ways to drill down to view the detailed information: 1) double clicking on a piece of the 'pie chart' or 2) double clicking on a row in the grid.
Month - To view the break down of the jobs by Month, in a graph format, click on the Month button. To then view the detail, click on either the graph bar or click the Detail button.

Chart - A chart is displayed for the summary level selected, displaying the number of projects that fall into the criteria. All years selected are displayed for each category in a separate chart.
Detail - After selecting the Year button, a Detail button becomes available. This option displays a chart listing the projects by year, and categories in the summary level listed across the page.

Detail - After selecting the Month button, a Detail button becomes available. This option displays a chart listing the projects by month, and categories in the summary level listed across the page.
Chart - A chart is displayed for the summary level selected, displaying the number of projects that fall into the criteria. All weeks selected are displayed for each category in a separate chart. The 4 week average is displayed for each week (indicated on graph).
Detail - After selecting the Week button, a Detail button becomes available. This option displays a chart listing the projects by week, and categories in the summary level listed across the page. This chart includes the 4-week average.
The ability to change the view is available at any time by selecting the applicable button on the toolbar (Dates, Filter Options, Summary Level, Display Options or Type of View).
Most all Job views can be printed as displayed by clicking the Print icon. To export the Job views, click the Excel icon.
To change the selection criteria, click on the Selection button. To refresh the results with most current information, click on the Selection button and then on the Refresh Data button.
Export All - As an alternative to displaying data in the Dashboard style, all data selected may be exported to Excel by clicking on the Export All button on the toolbar. This gives the ability to create customized reports in Excel based on the raw data available. All key job and component fields are included in this report.
Print - When on the Year, Month or Week views, printing sends all three grids onto a single report .
Export - When on the Year, Month or Week views, exporting will print only the grid into Excel.
