Automated Assignments are used to create a 'behind the scene' workflow for specific actions that will update the Alert Assignment's state and send updated Alert Assignment based on a predefined action within Webvantage.
Automated Assignments uses the existing Alert Assignments Template Detail maintenance application to customize when a state changes and who it is re-assigned to.
To access Automated Assignments, select the Maintenance on the Main Menu. Click on Project Management then select Automated Assignments.
Upon accessing the Automated Assignments, the Rules tab displays all defined Automated Assignments.
To add a new Automated Assignment, click the New button and select the following:
On Action - Select the action to trigger the Automated Assignment. Click here to view the list of Actions available.
Template - Select the template to trigger the Automated Assignment.
All States in Template - Select this option to have all States within the Template trigger the Automated Assignment.
Assignments with State - Select the State that will trigger the Automated Assignment.
Changes to State - Select the new State to be applied to the updated Alert Assignment.
Employee - The updated Alert Assignment will be forwarded to the 'Default Employee' listed for the State. If a Default Employee does not exist, it will assign the Assignment to Unassigned. The ability to view Unassigned Alert Assignments is dependent on Security setup.
The option to not update the assigned employee when the Assignment State changes is available from the Options tab.
When completed, click the Save button.
After saving, the Automated Assignment popup will remain open. To create a new Automated Assignment, modify as needed and click Save.
Within the New Automated Assignment, click the View All Automated to view existing Automated Assignments. Use the Group By option to view the Automated Assignments by Template/State, Action or None. Clicking on the Template and State column headers will sort ascending/descending.
The Change to State can be modified by selecting a new State from the dropdown. Changes are automatically saved.
Use the New button to create a new Automated Assignment.
To remove an Automated Assignment, click the Delete icon at the end of the Rule. Changes are automatically saved.
An option to not change / update the assigned employee when the Assignment State is changed is located in the Options tab.
To not change the assigned employee, check the When changing assignments, do not change assigned employee. This option defaults to un-checked.
Automated Assignments uses the Template setup within Alert Assignments | Template Detail tab.

When the following actions occur in Webvantage and there is an open Assignment with the same state as defined in the Alert Assignment Workflow Maintenance, the Assignment's state will automatically change and a new assignment will be sent.

To generate a report listing the template detail, click the Export to Excel icon, located top right corner of application.
A State listed with a single asterisk indicates that State is a 'Completed' State (Example: Close*).
A State listed with double asterisks indicates that State is part of the Automated Assignment workflow (Example: Estimate**).
An Employee listed with single asterisks indicates that Employee is the default Employee (Example: Alan A. Able*).
Click on the x on Automated Assignments maintenance tab to exit the maintenance application.
