Schedule by Task Settings

 

The Schedule by Task Report application offers the ability to select the tasks, columns, and dates to appear on a Schedule by Task Settings report. This report can then be exported to a Microsoft® Excel (.xls) spreadsheet file.

Select Project Management button from the Main Menu. Click Reports and then select Schedule by Task.  

The Schedule by Task selection criteria window is now available. There are three different types of reports available: Traffic By Task , Completed Task Report and Traffic By Role.

Report Selection

These options will determine which records print, which columns will display and what order the items will display on your report.

Not all options are available for the Completed Task Report or Schedule By Role report.

Office

All Offices - Select this option to have the report include all tasks that are due for completion for any office that fall within the date range 'Created By' starting date and number of days.

or

Choose Offices - Select this option to include all tasks that are due for completion for selected offices that fall within the date range 'Created By' starting date and number of days. To select multiple records to print, hold the CTRL key on the keyboard while clicking on each client.

Client

All Clients - Select this option to have the report include any tasks that are due for completion for any client that fall within the date range 'Created By' starting date and number of days.

or

Choose Clients - Select this option to include all tasks that are due for completion for selected clients that fall within the date range 'Created By' starting date and number of days. To select multiple records to print, hold the CTRL key on the keyboard while clicking on each client.

Roles

All Roles- Select the radio button for All Roles print to the report.

or

Choose Roles - Select Choose Roles radio button to indicate specific Roles to display on the report. Then highlight the Roles to display. To select multiple Roles to print, hold the CTRL key on the keyboard while clicking on each Role.

Statuses

All Statuses - Select the radio button for All Statuses to include all Schedule Statuses on the report.

or

Choose Statuses - Select the Choose Statuses radio button to indicate specific Statuses to include on the report. Then highlight the status to display. To select multiple records to print, hold the CTRL key on the keyboard while clicking on each status.

Account Executives

All Account Executives - Select this option to include all tasks that are due for completed for all Account Executives that fall within the date range 'Created By' starting date and number of days.

or

Choose Account Executives - Select this option to include all tasks that are due for completed for selected Account Executives that fall within the date range 'Created By' starting date and number of days. To select multiple records to print, hold the CTRL key on the keyboard while clicking on each client.

All Qualified Jobs / Job Due Date Range

Select the radio button to include all qualified jobs (that meet the other criteria selected) or Jobs within a specified date range.

For jobs within a specific date range, manually enter or use the calendar widget to select the Due Date Range Start and End Dates.

Include Completed Jobs Select the checkbox to include all closed Jobs for the specific client.
Manually enter or use the calendar widget to select the Date Range for the Closed Jobs.
Jobs closed in Accounting may not be included on this report.

Exclude Task (Summary Only)

Select the checkbox to exclude the task detail from the report. If this option is selected, the summary information will print for the job, but the detail of the job will not print regardless if Tasks Options (below) are selected to print on this report or not.

Options is not available for the 'Completed Task Report'.

Manager

Select the Manager, using the dropdown to select a Manager.

'Manager' is a custom field label and is designated in Advantage | Maintenance | Project Schedule | Settings - Assignments tab.

Report Title

Report Title Enter the title of the Report that should be used, otherwise, accept the default title.

Task Options

There are two ways to select the Tasks to display on the report.

The report displays Task Code information that are assigned to more than 1 employee, or is assigned more than once for that Project Schedule, within the same cell. See Viewing the Report section below for more detail.

The report will display for each Task:

  • Prints in column format with the name of the Task as a header.

  • Contains either the Due Date or Completed Date based on the option selected in the Display Options section.

  • Prints the Task Description on the report.

Only Tasks linked to Task Codes will be printed on the report. On the fly Tasks cannot be included on this type of schedule.

Task Options not available for the 'Completed Task Report'.

All Tasks To select all Tasks (up to the first 30 Task Codes) associated with a Task Template, select the Template from the drop down menu and click the Refresh button.
Select Tasks

To manually select the Tasks (up to 30 Task Codes) to display on the report, select the drop down menu to the right of each Task number row and highlight the desired task to be printed in the column.

Milestones

To display Tasks that are defined as a Milestone, select the Milestone Tasks Only checkbox.

Sort Options

Sort Options not available for the 'Completed Task Report'.

Primary Sort
 
Select the first field to be used for display order of the records to print on the report. If you select client code, then the report will print in client code order, even if this field is not selected to display.
Select the option to display in Ascending or Descending order.
Secondary Sort Select the second field to be used for display order of the records printing on the report. If you select job number, then all records will display by Client code, then by job number.
Select the option to display in Ascending or Descending order.

Export Options

Microsoft Excel

Select the checkbox export this report to an Excel spreadsheet file (default). To generate the report in a report window, un-select the check box.

If this option is selected, the File Download window is displayed with the option to Open, Save or Cancel.

  • Open - Select Open to go directly to the Excel spreadsheet view only. While in the spreadsheet changes can be made to the data. Saving changes here will allow the file to be renamed and saved to a location of your choice on your local drive or a network server.

  • Save - Select Save to save the Excel spreadsheet on the local drive.

  • Cancel - Select Cancel to return to the Report window.

Save My Options Select the checkbox to retain the selection criteria used for this report. If this option is selected the next time this user returns to this report these same options will display providing a report had been run using them.
If Cookies are deleted from the browser preferences, the saved options are deleted.

Display Options

The Display Options are not available for the 'Completed Task Report'.
Job Status Select the checkbox for all items to display on the report.

Report Date Options

The Report Date Options are not available for the 'Schedule By Role'.

Original Due Date

If selected, will print the Original Job Due Date. If the task is complete, an "X" is used to indicate completion.
Option not available for the 'Completed Task Report'.

Due Date

If selected,will print the Due Date of the Job. The report will include the Due Date or the Revised Due Date if it exists for the task. If the task is complete, an "X" is used to indicate completion.
Option not available for the 'Completed Task Report'.

Due Date / Time Due

If selected, will print the Due Date and the current Time Due of the task. If the task is complete, an "X" is used to indicate completion.
Option not available for the 'Completed Task Report'.

Completed Dates

If selected, will print the Completed Dates of the Task. If the task is not complete, no date is printed.
Option not available for the 'Completed Task Report'.

Original Due Date / Completed Date

If selected, will print two rows of data to compare the original due date to the actual completed date for analysis. This means that each job/component will have two rows of data. One row for the original due date and one row for the completed date.

Due Date / Completed Date

If selected, will print two rows of data to compare the due date to the actual completed date for analysis. This means that each job/component will have two rows of data. One row for the due date and one row for the completed date.

Due Date / Completed Date
(Single Cell)

If selected, will print one row of data to compare the due date to the actual completed date for analysis.

Additional Options

Include Employee Assignment If checked, will print, in addition to any date option, the Assignments for the Employee.
Include Task Description If checked, will print the Task Description, instead of the Task Code.
Include Phase If checked, will include the Task Phase.

Click the View button to create the report.


Viewing the Report

When more than 1 employee is assigned to a task, or there are duplicate Task Codes, the information will display within the same cell. The data is displayed with a comma (,) separating each individual task's information.

Example: Job 70 has 2 Task Codes of 'pub' associated. The 1st 'pub' Task Code is assigned to 'ama' and is due on 11/3/2018. The 2nd 'pub' Task Code is assigned to 'jtg' and is due on 11/5/2018.  The report will display this Task Code only once and will show both 'pub' information in each cell.

Due Date: 11/3/2018 ,11/5/2018 : indicates the Due Date for each task.

Completed Date: , X : indicates that the 11/3/2018 task has not been completed (blank space before the comma) and the 11/5/2018 task has been completed (X).

Employee: ama, jtg : indicates that the 11/3/2018 task is assigned to ama and the 11/5/2018 task is assigned to jtg.

Completed Task Report

The Completed Task Report is designed to display how many days before or after that the task was completed based on the Due Date specified in the Report Date section.

Traffic By Role Report

The Schedule By Role report is designed to display results for selected roles and related employees, broken out by task.
