Advantage Services is a feature that allows you to set predefined tasks to run on specified schedules. The total of 25 services are divided into eight groups, with each group being its own Windows Service. Each Advantage Service can be enabled or disabled independently of the other services. However, the corresponding Windows Service must be running for the Advantage Service to work. Windows Services can be configured by using the Windows Services Microsoft Management Console (MMC). Logging for all Advantage Services can be found in the Windows Event Viewer.
Advantage Services are configured either in the Advantage client application or by using the appropriate Advantage Services application. Click the links below to view technical and/or database setup information for each service.

The email listener can be used to capture email replies to Webvantage alerts or assignments; import receipts onto expense reports; and import media accounts payable invoices.
Windows Service Group: Advantage Windows Service Email Listener.
Configuration Application: Advantage Services Email Listener or Advantage Client > Maintenance > Advantage Service Settings.
Replies to Webvantage Alerts or Assignments: The email listener will capture email replies made to Webvantage alerts or assignments that are sent to the default email listener system account. The service will poll the inbox of the email listener system account at the interval set in the Email Listener Services and ingest any valid emails found there. Text and attachments will then be added to the alert or assignment in Webvantage. If an email cannot be matched to an existing alert or assignment, the reply will not be pulled into the database.
Expense Report Receipts: An email listener account can be set up to import receipts to user’s expense reports. The service will poll the inbox of the expense report receipts email account at the interval set in the Email Listener Services and ingest any valid emails found. The “From” address of the email must match a valid employee email address in the system. Receipts will then be available for the employee to add to any open expense reports and attach to specific lines in the report.
Accounts Payable Invoices: An email listener account can be set up to import media accounts payable invoices into Advantage. Invoices must be in a valid 4As format. The service will poll the inbox of the accounts payable invoices email account at the interval set in the Email Listener Services and ingest any valid emails found. The “From” address of the email must match a valid employee email address in the system.

To enable the Email Listener go to the top left corner and select the Enable icon inside the Options
tab.
NOTE: A message box will appear on the screen to let you know that by turning on this feature, any accumulated item in the system account Inbox will be processed. Click ‘Yes’ to confirm the email box has been emptied before proceeding. Click ‘No’ if the email box has not been emptied.
Run at every min(s) – Enter how often the Email Listener should be run. The entry is automatically saved.
Start of Signature Code – The code entered here indicates the start of an electronic signature that the Listener will strip from the comment that is saved with the Alert in the database. Any code can be entered here, but the code must also be present in the electronic signature that may be added to Email replies. When the Listener detects this code, the remaining part of the email will be stripped.
Send Email to Alert Recipients - Select this option to send an email to all Alert Recipients when an email has been replied to.
If the user Replies (to sender) or Replies to All, the Listener Email Address (account) will receive the message and the comments made and attachments will be inserted into the associated alert. An e-mail notification will be sent to the recipients on the Alert.

The Settings tab is used to set the criteria for the QvA Alert service.
Run At (Daily) – Enter when the QvA Alert should be run each day. The entry is automatically saved.
Send Alert To – Select who will receive the QvA Alert – Account Executive on the Job (this is the default setting), Default Account Executive for the Client/Division/Product or the Default Alert Group.
Show Level - Select how the information will be conveyed in the alert – Job Only [summary by job only] total = x%, has functions that exceed threshold or by Job and Functions that will show job with functions with QvA data under each job (this is the default setting).
Set Alert Level – Select from two level that the automatic alert will be sent – Job Total Only [Actual total (all functions) for types selected exceed the approved quote] or Job or Function Level [1) If the actual total (all functions) for selected exceeds the approved quote or 2) Actual total for any individual function on the job exceeds the approved quote (this is the default setting)].
Thresholds – Up to 3 different levels of thresholds can be established. Enter the threshold percentages and description to be included in the alert. If blank, the default description is Actual to Estimate Ratio is between ___ and ___% or Actual to Estimate Ratio ___% or over. Inserting a 0 (zero) or leaving null will indicate that the level will be skipped.
Check each level that is to be included in the QvA Alert services. Percentages between the levels cannot be overlapped.
Calculation Options – Select the type of function totals to be used in the calculation:
Resale tax is excluded from all calculations
Time (with markup/markdown)
Income Only (with markup/markdown)
Vendor Charges (with markup/markdown)
Include Estimate Contingency Amount (contingency amount in total)
Include NonBillable Time (not marked fee, but marked non billable)
Include Time Marked Fee Time (will also be marked non billable, but looks for the Fee Time flag)
If the user selects to display just the job, the alert will display a listing of the jobs with quoted, actual and % of quote values.
If the user selects to display by job and function, the alert will display each job individually with the functions listed.
The Media Export tab is used to export select media tables (in a .csv format) to a folder that will be automatically created on the C:\ drive:

The Criteria tab is used filter the data to be exported.
Client – Select the Client from the dropdown.
Selected Campaigns – Select the Client and Campaigns to be exported. Multiple Clients and associated Campaigns can be selected at the same time.
The Tasks service is designed to send an alert to notify staff members when a due date on a task (Project Schedule) is approaching or is past due. This service is designed to be run nightly but can be run at any time.
Employees must be setup to receive either emails and/or alerts in employee maintenance in order to receive this notification.

Status – Displays the current status of the Tasks service.
Auto Start – Select this option to automatically start the Tasks service when Advantage Services is opened. This option is only available when the Tasks service has been stopped
Stop / Start – To stop the Tasks service, click the Stop button. The button will now be a Start button. To restart the Tasks service, click the Start button.
The Settings tab is used to set the criteria for the Tasks service.
Run At – Enter the time when the Tasks service should be run on the run day selected. The entry is automatically saved.
Run Day – Select the frequency of when the Tasks service should be run – Daily or Weekly. If weekly, select the day of the week.
Notification section
Select the type of notification – Tasks that are past due and/or upcoming.
Enter the timeframe to look for upcoming task from current system date.
Custom Message – Enter a custom message that will be included in the alert (up to 250 characters).
Use Product Name - Select this option to display the Product Name on the Alert. When selected, the Product Name will be displayed versus the Client Name.
Remove Task Comments - Select this option to not include Task Comments on the Alert.
The Missing Time application is used to monitor employee’s time. This application contains many custom settings that are used to determine what qualifies as missing time, how often it is checked for and who is notified.
The Missing Time application can be setup to check for a specific number of days or can use the current posting period to check for missing time (including a Grace Period allowance). Only those days with a variance - less than 100% will be included. Days not required will not be included in the Missing Time Alert. Notifications can be sent to both the Employee and / or their Supervisor as desired. A custom message can be used to generate a ‘friendly’ reminder, via Alerts and Email Notifications, that they need to enter their time. Webvantage Alerts will include a link to Timesheet for the missing time so time can be entered.
The notifications contain all missing time for the employee within the range defined. In addition to the automatic notifications, a text file of names and missing time information is automatically generated and stored in the Log File Path defined in the Advantage Missing Time application.
If the missing time exceeds the Grace Period days entered for the IT Contact (email address entered in the Advantage | Maintenance | General | Agency | Time Sheet Options tab), the employee will be marked as a severe offender and action may be taken by the IT Contact. The Grace Period specified can be any number of days you feel would constitute a critical level of missing time. Once an employee has reached the severe level of missing time, a log of severe offenders sent to the IT contact. You may determine what action should be taken and use the log provided.
Example: If an employee has reached the severe level of missing time, the action that could be taken would be to lock that employee out of their Email until they have entered time and are below the severe level of missing time threshold. The text file that is generated contains enough information to automate such a process.
When the employee, who has reached the severe level of missing time, enters time using Webvantage Time Sheet application, a notification is sent to the IT Contact and the employee's Supervisor. The notification includes the name of the employee who entered time, the hours that were entered, and the dates of the time entered.

The Settings tab is used to set when the Missing Time application is automatically ran.
Database Profile – Select the database from the dropdown. Databases are added using the Database Profiles tab or from the Ribbon.
Process Interval – The Missing Time application is designed to be run daily based on a specific time frame or every hour for a specified number of hours within a 24 hour day. It can also be run on a weekly schedule based on the selections made. Note: It can be ran ‘on the fly’ using the Process button on the Database Profiles tab.
Run At – Enter the time that the Missing Time application should be ran.
Run Every __ Hours – This option is used to process missing time notifications every X hours for a set number of hours (see Stop After below) during a single day. Max entry is 23 hours.
Run Day – Select if the Missing Time application is to run ‘daily’ or on a set day of the week (i.e.: Monday).
Stop After – If Run Every __ Hours is selected, enter the number of hours to run the program for.
Example
Process Every 1 hour
Stop After 4 hours
In this example, the Missing Time application will process notifications when the service is started on each day based on the last ‘time’ processed every 1 hour, for 4 hours and then will stop until the next day.
The Alerts tab is used to set the criteria for the Missing Time service.
Database Profile – Select the database from the dropdown. Databases are added using the Database Profiles tab or from the Ribbon.
Range – Determines how the Missing Time is to be calculated for each database:
Days to Check – The number of days entered in this field determines how many days the system will check for missing time for all employees. Maximum number of days is 99.
Current Posting Period – uses the system’s current posting period (related date range) as defined as ‘Current’ in Advantage | General Ledger | Maintenance | Posting Periods application.
Tracking – Select from these additional options to be considered when calculating missing time:
Don’t Count Weekends and Holidays – When selected, the Missing Time application will NOT count weekends or holidays in the calculation of how many days are actually late.
Time will not be required for official holidays entered in the Calendar, eve if entered for partial days only.
Example: with a 1-day grace period, time missing from Friday will NOT be counted as late on Monday. If this option is not selected, in this example, Monday would be counted as late and will appear as ‘missing’ in notifications.
Missing Timesheets Only – When selected, the Missing Time application only counts days that have zero hours entered. Example: a day with 1 hour would NOT be counted as missing.
Recipient – Select who should receive the Missing Time alert – Employee and/or Supervisor.
Grace Period – Select the number of days to be considered the ‘Grace Period’. This is the number of days the employee has to enter time before notifications are sent to the employee, supervisor and/or IT contact.
Employee – Enter the number of days an employee has to enter their time before a notification is generated notifying the employee of their missing time. This could be considered a warning.
Supervisor – Enter the number of days and employee has to enter their time before notifications are generated to the employee’s supervisor, notifying them of the missing time.
IT Contact – Enter the number of days and employee has to enter their time before considered as severe or at a ‘critical’ level of missing time. At this point, the employee is considered to be a severe offender, and action may now be taken against them (example: lock their Email until time is entered and they are below the sever threshold).
When the employee enters time through Webvantage, the supervisor and/or IT contact will receive notifications indicating the hours the have been entered. Any action taken against the severe offenders could then be reversed.

If an employee has time that is older than what is allowed by various grace periods specified, notifications will be sent by the program automatically to the employee, supervisor and IT contact accordingly.

Priority – Select if the Missing Time Email and/or Alert should be sent as a High, Medium or as a Low priority.
Other
Log File Path – Enter the location where the Missing Time logs should be stored. Log files for each database will be created each time the Missing Time program runs. Note: If a log path is not designated, the Supervisor and IT logs will not be generated.
Log ending in IT contains severe offenders. This log is also emailed to the IT Contact when specified.
Example: MISSING TIME_server1_ADVDEMO_IT
The remaining log is for the Supervisor and contains the same information.
Include Only Days that are Late in the Recipient's Notification - Select this option to only include the days that are missing within the Supervisor and IT Logs versus all days within the range in the recipient's email / alert.
Custom Message – Enter a message that will be included in the notifications.
The Calendar tab allows for the option to synchronize Webvantage Calendar with Google Calendar.
The Login links Google Calendar to Webvantage through the standard USER ID’s Email User Name and Password. The employee’s correct Email User address and password must exist in the Advantage Employee maintenance file.
Appointments created in either calendar are synced incrementally based on the settings in the Advantage Services and are available immediately after that action has occurred. This may require refreshing the Webvantage Calendar page if already open.
Modifications to shared appointments are also synced using the same methods.
Google Calendar synchronization utilizes the Time Zone setting in Webvantage | Maintenance | General | Time Zone.

The Paid Time Off Accruals tab is used to automatically update paid time off hours for all employees using the established Paid Time Off rules. This automates the existing manual update process. This process should only be run once a month. Repeating this process can lead to unintended results. A message will be received when this would occur and includes option to continue processing.

The CRM Contracts tab is used to set up and manage the Notifications for both Contract Renewals and Contract Reports in the CRM (Client Relationship Management) applications that are set up at the Product level under Contracts/Opportunities.

The Settings tab is used to set the criteria for the Accounts Payable and Accounts Receivable default Import templates. Automatic emails can be sent to notify of a new import. The services will scan the default directory for files and create a new batch each time it finds a file.
Select the Import Type Template from the list of all Import Templates created in various applications.
Import template names must be unique per Import Type, not unique within the database.
The System Templates, as coded by Advantage, will automatically be included in the selection list.

This export service is used to automatically update the Job Process Control based on the specific settings. Upon completion, a text file (.txt) will be created that contains a list of the jobs that have been updated.
The Settings tab is used to set the criteria for the Archived Jobs export.
IMPORTANT: This process will not check for unbilled or incomplete charges and will strictly use the criteria above to set the controls. |

After processing, the Job Process Control Log will list the Job's new Process Control, Date and comment that were updated by the service automatically.
The text file generated after update will include the Job Component Numbers, including the prepended text and the selected Change To Process Control.

Custom Job Export used to export Advantage Job Numbers and details. The recipient will return a file including the Employee's Expense Reports, that will be processed using Advantage AP Import application.

Schedules can also be maintained within Advantage Services. The following fields are available and editable, unless otherwise noted.
Employee Code (Display Only) - Displays the employee who created the Schedule (after it has been added).
Export Type (required) - Using the dropdown, select the type of export. Options are CSV, XLS or XLSX
Frequency (required) - Using the dropdown, select how often the report should run. Options are Daily, Weekly or Monthly.
Day of the Week (required) - When Frequency is Weekly, check the day of the week that the report should run. Multiple days can be selected.
Day of Month (required) - When Frequency is Monthly, select the date that the report should be run. Options are from the 1st to the 28th.
Schedule Start Time - Use the dropdown to select the start date and time that the Schedule should automatically running. This will default to the current date/time if none is selected.
Schedule End Date - Use the dropdown to select the end date and time that the Schedule should stop automatically run.
Email Address - Enter the email address that the report should be sent to. The email will include a link to view the report.
Last Ran (Display Only) - Displays the last time the Schedule was ran (after it has already been added).
For non-hosted agencies, this will enable the Comscore Import service to activate the automatic download of Comscore data.

The Automated Assignments service is designed to pick up external emails sent to a specific account set up in Advantage/Maintenance/Agency/System and Alert Options/Email Settings.
Once verified, an assignment will automatically be created based on the account criteria.

This service will send an email alert to a specified email address when your document repository has met or exceeded the set threshold percentage. Setting this alert allows you to know when your repository is close to full so you can take proactive action and either expand your repository or gain capacity by removing files before business process are impacted.
