Workspaces and Workspace Objects displayed for each user can be pre-defined within Webvantage and assigned to employees or groups (based on Group and User Security setup) in Advantage Security. Workspace Manager can creates templates for groups of users based on role and therefore eliminating the need for individual users to create their own Workspace. Templates can be updated and reassigned to users at any time.
Standard security will apply for each employee. If a template is assigned to an employee who does not have the security rights to the Desktop Objects or Applications, that Desktop Object or Application will not be displayed on the employee's template.

Unlimited number of objects may be added to a workspace. The objects will be automatically re-sized depending on their placement within the workspace. Objects can only be re-organized from within Workspace manager.
** IMPORTANT NOTE ** Using the Workspace Manager will cause the main window to refresh. This will close any open applications! Please save your work first! |
There are two ways to access the Workspace Manager:
Right click anywhere on the desktop and select Manage Workspaces.
On the Summary Panel, click on User icon/picture and select Manage Workspaces.
Workspace Manager is divided into two tabs - Workspaces and Templates.
The Workspace Manager is divided into two sections - Workspaces and Current Workspace.
The Workspaces section displays existing workspaces and allows for changing the workspace, adding a new workspace and creating a workspace template that can be applied to other users /groups (in Advantage Security).
The order of the workspaces can be adjusted by two methods highlighting the workspace and:
Drag and Drop into the desired order
Use the Move Up or Move Down arrows.
When done click the Save Order button.
When there is not a Workspace created, then the Dashboard, compilation of various User's information, will becomes the Workspace. Once a Workspace has been created, then the Dashboard will be available from the Side Bar.
To add a new workspace, click the Add New button.
Enter the new workspace name in the New Workspace Name section and click the Save button.
To save the current workspace as a template, click the Save Template button.
Enter a template name on the New Template Name section and click the Save button.
To disregard entering a new template name, click the Cancel button.
Use the Refresh button to reset the workspace.
The Workspaces section displays the Last Template Applied for the User either through Security Setup or from within Workspace Manager | Templates tab.
The Current Workspace displays detailed information of the workspaces - including the Desktop Objects and Favorites.
The name of the selected workspace displays in the Name section. The workspace is dependant on which workspace is selected in the Workspaces section.
The name of the workspace can be modified. Change the name as desired and then click the Save button.
To delete the workspace click the Delete button. A message will display verifying that the Current Workspace is to deleted.
The Panels display the current Desktop Objects that are assigned to the workspace.
The Panels is divided into 2 sections. These represent where the Desktop Objects reside on the workspace when objects are not set to 'float' in My Settings. To add / delete objects from a panel, use the Add Objects and Deleted Selected Objects that correlate with each panel.
To add objects to a panel, click on the Add Object checkbox for that panel. A list of all available objects will be displayed. Highlight the objects to be added to the workspace and drag and drop to panel. Multiple objects can be added by holding down the CTRL key and selecting objects. The objects then can be re-arranged within each panel by using the drag and drop method. Additions and re-arrangement of objects are automatically saved.
Any number of objects may be added to a workspace. The objects will be automatically resized depending on their placement within the workspace,
To remove objects from a panel, highlight the objects and click the Delete Selected Objects link. Objects will be deleted without a message to verify deletion.
Objects can only be re-organized from within Workspace manager.
Favorites are applications, dashboards and/ or reports that can be saved per Workspace. As each Workspace is accessed, the favorites will automatically be displayed. From the Dashboard, the favorites are listed as buttons at the bottom of the Dashboard. When there is not a Workspace created, then the Dashboard will becomes the Workspace.
To select favorites, expand the menu by clicking the expand checkbox. Select each application to be included by checking the applicable checkbox. Once all applications are selected, click the Save button.
The Templates tab displays all templates that have been created. Templates are applied to Users and Groups within Advantage Security.
To apply a template to yourself, on that template row click the Apply this Template to yourself icon. Applying the template to yourself will automatically refresh the workspace. Use the Replace this Template with your current Workspaces to save changes that were made to the Workspace for that template. To delete a template, on that template row click the Delete Template icon.

To exit Workspace Manager, click the X button located on the top right corner.
